A biometric attendance machine should save HR hours every month. Badly set up, it creates more work than the paper register it replaced. These are the mistakes we see most often in Dubai and Sharjah businesses.
1. Choosing fingerprint for a manual workforce
Fingerprint readers struggle with fingers that are worn, cut or dusty, which is common in construction, warehouses, workshops and cleaning teams. Workers get rejected, queues build up and HR ends up adding manual punches. Face recognition is far more reliable for these teams.
2. Too few terminals for the shift change
If 150 people start at 7:00 am, one terminal creates a queue and late marks that are not the employee's fault. Plan terminals for the busiest minute of the day, not the average.
3. Mounting the terminal in the wrong place
Face terminals facing a bright window or doorway struggle with backlight. Terminals outside without a canopy suffer in the summer heat. Mount indoors or under cover, at the height the manufacturer specifies.
4. Leaving the software on default settings
The device records punches. The software turns them into hours, lateness and overtime. If shifts, grace periods, break rules, weekly off days and overtime rates are not set up, the reports are wrong and HR loses trust in the system.
5. Not testing against payroll
Run the new system alongside your current method for at least one pay period. Compare the results, fix the rules that do not match, and only then switch over. This is also when to confirm the report format your payroll team or WPS process needs.
6. Ignoring data protection
Biometric data is personal data. Restrict who can access the software, use strong passwords, back up the database, and tell employees what is collected and why.
7. No plan for when it breaks
Terminals store punches locally, but someone still needs to notice when a device goes offline. Include the terminal in your IT or maintenance contract, and keep a simple process for manual corrections that HR approves.
